PetroCycle
Why Choose PetroCycle? Three Reasons:

- We’re experts in database technology and creating solutions to solve your accounting challenges using this technology.
- We’re adaptable. Our flexibility is infinite. We create a software system that matches the way you do business - not the other way around.
- We understand the Petroleum business and the unique issues facing the industry. Best of all, we can help you be more efficient, save time and increase profitability.
Converting to PetroCycle is an Easy 7-step Plan:
- Discovery Phase: done remotely or face to-face. The information we discover in this phase helps us build your individual rules engine. Tell us what problems you are trying to solve; what do you want to happen that’s not happening now.
- Timelines/Deadlines/Deliverables: Here is where we map out your “go live” date and finalize your role specific training schedule. It’s important to have the training as close to the go live date at possible for best retention.
- Test Data Conversion: This is where we build the full components of the software program as if we were actually going live. We use this “mock go live” to test reports, data purging; re-mapping.
- Software Installation and Configuration for Users: Here we initialize the database and confirm reports; statements; invoices. This is the dotting the “i’s” and crossing the “t’s” section of the process.
- End-User Training: Remote training works best – at your own desk; using your actual data; with role specific training structure around manageable chunks of time/info. The trainee’s love it because it’s hands-on and they remember what they’ve learned. The bosses love it because it’s cost efficient (no time away from the office, no travel expense).
Final Data Conversion: Knowing that you’re still using this information, the final data conversion process is a phased event. We need to get all customer lists and open documents for Accounts Receivable/ Accounts Payable, General Ledger data from the prior month …- Go Live: It’s as easy as flipping on a switch. PetroCycle takes over where your old system left off.
Best Practices: Five Things To Consider When Changing Software

- Allow three (3) months to complete all steps of the implementation process.
- Clarify roles and actions of employees as they pertain to the new software
- Determine what information employees need to have to do their jobs (reporting, data analysis, etc.)
- Specify employee functions, job descriptions, and general duties so the program can give them what they need.
- Ask the software designs to “repeat back to you” your issues so you know they understand your specific problem before they go off trying to create a solution to solve it!
